Procurement Coordinator

EMPLOYMENT OPPORTUNITY

Rubis Guyana Inc., a company specializing in the marketing of petroleum products, is seeking to fill the vacant position of Procurement Coordinator.

The primary role of the Procurement Coordinator is to obtain the most favorable pricing, quality and service whilst ensuring that the company is not exposed to risks. 

The Portfolio 

The responsibilities include:

  • Identifying cost reduction initiatives which include opportunities for buying as a single entity. This involves conducting expense analysis of significant expenditure spend.
  • Determining the appropriate procurement strategy for each acquisition of goods and services.
  • Ensuring compliance with procurement policy by internal stakeholders. Circulating communiques to staff regarding procurement policies and guidelines.
  • Managing the relationships between multiple vendors and internal customers.  
  • Managing the tender process which includes receiving and verifying the specifications for goods and services (scope of work) and requirements. 
  • Supporting pre-qualification of suppliers. Receiving tender submissions based on required scope of work, timelines, delivery of goods and services, and cost.   
  • Negotiating terms with vendors and preparing vendor contracts for the provision of goods and services to the Company for approval.  Monitoring contracts pending renewal and ensuring contractual terms are in place within timelines.
  • Coordinating bidding committee meetings to review the submitted tenders. 
  • Receiving requests for the addition of suppliers, screening requests and providing concurrence for additions and deletions from the supplier database.

Requirements 

  • Bachelor’s degree in Law, Procurement or Business Administration. 
  • Master’s Degree in Business Administration, Procurement, Supply Chain Management (or another related field) would be an asset.
  • Minimum of 3 years’ experience in a related field.
  • Must have strong (oral and written) communication skills.
  • Strong Proficiency in Microsoft Office.
  • Proven ability to use spreadsheets, graphs and other tools to extract, analyze and interpret data.
  • Must be results oriented, self-motivated, business focused and able to work well within a team.
  • In depth knowledge of purchasing strategies.
  • Ability and willingness to travel overseas.
